Easy Khata
Our primary application, used by businesses for day-to-day bookkeeping, creating invoices and bills, tracking sales and purchases, managing customers and suppliers, and staying GST-compliant.
Easy Khata Partner
Our partner application, used by our authorised sales partners to refer Easy Khata to new businesses, manage their referrals and team, and earn and withdraw commissions.
By installing or using either application, you agree to the practices described in this Privacy Policy.
2. Information We Collect
The information we collect depends on which application you use and the features you access.
Easy Khata
- Account & Contact Information: When you register, we collect your mobile number and, where applicable, your email address. These are verified using a one-time password (OTP).
- Profile Information: We may collect your name, business name, GST number, and business address.
- Financial & Business Data: To provide our services, we store the sales, purchase, invoicing, and bookkeeping data you enter into Easy Khata. This includes transaction details, GST numbers, and information about your customers and suppliers.
- Device & Session Information: We collect technical information such as your IP address, device model, operating system version, app version, and the Firebase Cloud Messaging (FCM) token used to deliver push notifications.
- Usage & Diagnostic Data: We use Firebase Analytics and Firebase Crashlytics to understand how Easy Khata is used and to diagnose crashes. This includes general usage information and anonymised crash reports.
Easy Khata Partner
- Account & Contact Information: When you register, we collect your mobile number and email address. These are verified using a one-time password (OTP). OTPs may be delivered via Firebase Authentication, an SMS gateway, or email.
- Profile Information: When you complete your profile, we may collect your name, business name, GST number, address, and date of birth/gender (if optionally provided).
- Identity & KYC Documents: To register as a primary sales partner, you are required to upload PAN card, Aadhaar card (front and back), a cancelled cheque, and a selfie photograph. These are used to verify your identity.
- Bank & UPI Information: To process commission payouts, we collect the bank name, account holder name, bank account number, IFSC code, and UPI identifiers. Account numbers are stored securely and shown in masked form.
- Referral, Commission & Wallet Data: We record the unique referral code generated for your account, the businesses who sign up using your referral, and commission ledger entries.
- Team & Sub-Partner Data: If you invite a sub-partner, we collect their name, mobile, and email to onboard them.
- Camera & Photo Library: Used solely to capture/select document images you wish to upload for KYC.
3. How We Use Your Information
Easy Khata
- Provide, maintain, and enhance the Easy Khata application.
- Facilitate invoicing, billing, GST compliance, bookkeeping, and financial reporting.
- Send transactional and service-related notifications such as login OTPs and subscription updates.
- Respond to inquiries and provide customer support.
Easy Khata Partner
- Provide, maintain, and enhance the partner application.
- Verify your identity and complete KYC onboarding.
- Track referrals, calculate commissions, and credit payouts to the bank account or UPI ID.
- Respond to inquiries and send transactional updates.
4. Data Security
We employ industry-standard security measures to protect your data. All communication between the applications and our servers is transmitted over encrypted (HTTPS) connections. KYC documents are stored in access-controlled cloud storage and bank details are masked inside the partner application.
5. Data Sharing and Disclosure
We do not sell or rent your personal data. We may share data with third-party service providers (like Firebase, SMS gateways, and cloud hostings) or banking partners to complete commission credits. Parent partners can view linked sub-partner metrics.
6. Data Retention
We retain your data for as long as your account is active to ensure continued access to your invoices, ledgers, and partner records. We may retain certain financial/tax files post-deletion to comply with regulatory obligations.
7. User Rights and Account Deletion
You have the right to access your personal data, request correction of inaccurate info, and request deletion of your account.
To delete your Easy Khata account or data, please write to us at contact@easykhataapp.com. Easy Khata Partner accounts can also be deleted directly from within the application under the "More" menu.
8. Governing Law
This Privacy Policy is governed by the laws of India. Any disputes will be subject to the exclusive jurisdiction of the competent courts in India.
